Detailed Rules
CHAPTER I MEMBERSHIP
- Persons wishing to join the Society must apply for membership by submitting the prescribed membership application with payment of the initiation fee stipulated in Article 6 or the annual membership fee stipulated in Article 7 and obtain approval from the Board of Directors.
- 1 Membership categories are as follows:

- (vii) Emeritus Member

- (1) Official Member
- 2 Of Official Members, Honorary Members are authorities of applied physics or persons who have made outstanding achievements in the Society and nominated by the Board of Directors.
- 3 Of Official Members, Emeritus Members are persons who made significant contributions to the development of applied physics with achievements in the Society and nominated by the Board of Directors.
- 4 Of Official Members, Life Members are those who are approved pursuant to Article 10, paragraph 1.
- 5 As a general rule, if a Member without Japanese nationality who received a doctoral degree from a Japanese university and belongs to an overseas institution applies in accordance with prescribed procedures based on nomination of an educator at the Japanese university, he/she will be approved as a International Postdoctoral Member. International Postdoctoral Members have a right to access the online versions of Applied Physics Express (hereinafter referred to as APEX) and the Japanese Journal of Applied Physics (hereinafter referred to as JJAP), international research journals, instead of the membership journal. The period of this provision shall be for three years, including the year of returning to the home country.
- 6 If a Member received a bachelor or master degree and belongs to a private company applies in accordance with prescribed procedures, he/she will, upon review by Director in charge of membership management, be approved as a Young Industrial Member. The period of this provision shall be for three years after completion of a degree program.
- 7 Of Corporate Members, Supporting Members are those who support the objective of the Society.
- 8 Special Members are research organizations or educational organizations that cooperate with the objective of the Society.
- 9 Of Sub Members, Division Members are individuals who joined each divisions.
- 10 Of Sub Members, Division Special Members are companies or institutions that joined Divisions to subscribe relevant Division’s journals, etc.
- 11 Of Sub Members, Division Corporate Members are companies or institutions that cooperate with the Divisions’ activities.
- 12 Of Sub Members, Industry-Academia Collaboration Committees Corporate Members are companies or institutions that cooperate with the Divisions’ activities.
- 1 Membership is effective from the date of admission approval by the Board of Directors and expires at the end of a year in which withdrawal procedures are completed. However, the membership may also be terminated at the date of completing the withdrawal procedures.
- 2 If a Member has damaged the reputation of the Society or engaged in an act contrary to the objective and intent of this Society, part of membership privileges of the Member may be suspended by resolution of the Board of Directors.
- In the case of any change to information, a Member provided in the membership application, the Member must report the change promptly.
CHAPTER II MEMBERSHIP FEES
- By the end of December every year, Members shall pay a membership fee (inclusive of the membership journal subscription fees) for the next one-year period starting from January.
- 1 Official Members and Student Members shall, at the time of joining the Society, pay no membership fee for the first year and prepay the initiation fee.
- 2 The amounts of initiation fees are as follows:

- (1) Official Members
- 2 No prepaid membership fees will be refunded.
- If a membership fee payment is delayed for more than three months, the delivery of membership journals (printed version), etc., will be suspended.
- Persons wishing to receive the membership journals (printed version), etc., outside Japan shall pay actual postage expenses in addition to the membership fee provided for in these Detailed Rules. However, this shall not apply if they are sent via sea mail.
- 1 Of Official Member who have reached the age of 70 or older, those whose age and number of years in which they paid annual fees as Official Members or Student Members amount to 110 years or longer in total may, if they apply for lifetime exemption of membership fees by the end of September, be exempted from membership fees for the next year onward subject to approval of the Board of Directors. Such Members shall be referred to as Life Members. However, they shall have no unpaid membership fees at the time of application.
- 2 Of Official Members who have reached the age of 60 or older, those who have reported to the effect that they do not have Official employment by the end of September, their membership fees from the following year will be JPY 6,000. Such Members shall be referred to as Senior Members.
CHAPTER III MEMBRESHIP JOURNALS AND OTHER PUBLICATION
- 1 The Society publishes the membership journal Oyo Butsuri (printed and online versions) on a certain day of every month, which shall contain overall reports, explanations, business reports of the Society, and other matters that will be helpful for Members.
- 2 The Society publishes the international research journals, APEX and JJAP.
- 1 Editorial members are established for the editing of journals.
- 2 The Regulations for Membership Journal Editorial Committee must be adhered to for the editing of membership journals.
- 3 The Regulations for APEX / JJAP Editorial Committee Regulations must be adhered to for the editing of APEX and JJAP.
- 1 The Society distributes membership journals (printed version) to Regular Members, Senior members, Life Members, Emeritus Members, Honorary Members, Supporting Members and Special Members.
- 2 Official Members and Student Members wishing to subscribe APEX and JJAP must prepay the following additional membership fee every year.
- (i) JPY 3,000 for online subscription
- 3 Honorary Members have a right to access the online versions of APEX and JJAP.
- 4 International Postdoctoral Members have a right to access the online versions of APEX and JJAP.
- 5 Supporting Members do not have a right to access the online versions of APEX and JJAP.
- 6 Special Members do not have a right to access the online versions of APEX and JJAP.
- 7 Those who continuously participate in only specific activities or operations of academic meetings (Sub Member) may receive distribution materials, etc., by prepaying membership fees, etc. every year, provided for separately.
CHAPTER IV ELECTION OF OFFICER CANDIDATES AND REPRESENTATIVES
- The election committee is established under the director in charge of general administration for the election of officer candidates and representatives.
- 1 Candidates for the president, other directors (hereinafter referred to as directors), and auditors are elected among Official Members nominated by the Board of Directors and Official Members running for the positions, by a vote of Official Members.
- 2 The election committee requests Official Members and its groups to nominate appropriate persons for the president, directors, and auditors, while soliciting candidates running for those positions from Official Members.
- 3 The Board of Directors screens nominated persons to select candidates it nominates by the end of October.
- 4 The election committee notifies the list of candidates to Official Members by the end of November and holds an election of officer candidates before the meeting of the Board of Directors scheduled in December.
- 5 Officer candidates are confirmed at the meeting of the Board of Directors in December.
- 6 The confirmed candidates are announced to Official Members by the end of February.
- 7 Regulations concerning the election of officers are established separately.
- 1 Directors and auditors shall be elected at the annual meeting of the general assembly from candidates announced under Article 15.
- 2 At the meeting of the Board of Directors held after the conclusion of the annual meeting of the general assembly, the president may be elected from among directors, from candidates announced under Article 15.
- If the Board of Directors finds it necessary to fill a vacancy of a director position, it may decide on an appropriate candidate, announce the candidate, and request the election of the candidate by convening a meeting of the general assembly.
- The Society has the nominating committee for representatives, and the guideline for the establishment is provided for in the Regulations for Nominating Committee for Representatives.
- 1 Representatives are elected by a vote of Official Members from Official Members nominated by the nominating committee for representatives based on delegation by the general assembly and Official Members running for the position.
- 2 The election committee requests the Official members and its groups to nominate appropriate representative candidates and solicit candidates running for the position.
- 3 The nominating committee for representatives screen the candidates recommended and select candidates it nominates by the end of October.
- 4 The election committee notifies the list of candidates to Official Members by the end of November and holds an election for representatives before the meeting of the Board of Directors scheduled in December.
- 5 The elected representatives are confirmed at the meeting of the Board of Directors in December.
- 6 Elected representatives are announced to Official Members by the end of February.
- 7 Regulations concerning the election of representatives are established separately.
CHAPTER V DIVISION OF DUTIES OF EXECUTIVE DIRECTORS
- 1 The division of duties for executive directors is as follows:
- (1) Director in charge of general administration: responsible for election administration, arranging the general assembly meeting, organizing rules, checking contracts and other general administration matters.
- (2) Director in charge of membership management: responsible for joining and resigning from membership, surveying and analyzing member trends, expanding member services and managing member systems.
- (3) Director in charge of human resource development and education planning: responsible for human resource development and education support.
- (4) Director in charge of accounting: responsible for formulating a financial program, developing budgets of this society and management of accounts thereof.
- (5) Director in charge of membership journal planning and editing: responsible for planning and editing the Japanese-language membership journal.
- (6) Director in charge of international exchange: responsible for planning strategies relating to international relations.
- (7) Director in charge of planning and editing international journals: responsible for the planning and editing of international journals.
- (8) Director in charge of planning and managing lecture meetings: planning and managing lecture meetings in spring and autumn.
- (9) Director in charge of public relations activity: formulating a public relations strategy and operating websites.
- 2 Officers do not receive any remuneration during the term of office and no retirement benefit will be paid at the time of retirement.
CHAPTER VI GENERAL ASSEMBLY AND OFFICER MEETINGS
- 1 The Board of Directors shall meet at least six times a year as a general rule.
- 2 The Board of Directors may, if necessary, establish the permanent or temporary committees and meetings.
- The agenda of a meeting of the general assembly must be brought before the Board of Directors in advance.
CHAPTER VII STAFF
- The Society shall have one chief of secretariat, no more than two deputy chiefs of secretariat, and a few staff members and contract staff members on special duties.
- The number of staff members, salary and work are in accordance with internal rules established separately.
CHAPTER VIII AUXILIARY PROVISIONS
- Implementation rules concerning the preparation, maintenance and viewing of documents and accounting books stipulated in the Articles of Incorporation are established separately.
- These Detailed Rules may be amended by a resolution adopted by the Board of Directors.
These Detailed Rules come into force from the date of the incorporation registration of the public interest corporation provided for in Article 106, Paragraph 1 of the Act on Arrangement of Relevant Acts Incidental to Enforcement of the Act on General Incorporated Associations and General Incorporated Foundations and the Act on Authorization of Public Interest Incorporated Associations and Public Interest Incorporated Foundation (June 1, 2011)
